Zoho One Renewal: 7 Proven Checks to Keep, Cut or Switch Calmly

Renewal Guide · Zoho One vs Separate Apps · Updated 29 October 2026

Zoho One Renewal: Keep It, Go Hybrid, or Buy Apps Separately?

A Zoho One renewal is the right moment to ask whether the bundle still beats buying apps separately, using your real usage instead of a guess. This guide is for businesses in India that already run on Zoho One and want to decide, before the next invoice, whether to keep it, move some people to flexible licences, or switch to standalone apps. Prices come from Zoho's official pages, checked on 29 October 2026. Every comparison is labelled Example only.

Short answer

Zoho One is still worth it at renewal when the apps your people actively use would cost more on their own than the bundle does. To find out, list who uses which app, price that list separately at today's India rates, and check whether your licence model still fits your headcount. Zoho's pricing FAQ says there are no forced long-term contracts and that you can mix flexible Zoho One licences with separately licensed apps, so the choice is not all or nothing.

Zoho One Renewal Is a Different Question From “Should We Buy?”

In short: At renewal you already have data, habits and workflows, so the question is keep, trim or split, not buy or skip.

Before you bought Zoho One, the decision was about potential: which apps you might use and what they would cost. At a Zoho One renewal, you have something better than potential. You have a year of real behaviour. Some apps became part of daily work. Others were opened once during setup and never again.

That changes the maths. A pre-purchase comparison counts every app you could use. A renewal review counts only what people actually rely on, plus what you plan to roll out next. If you are still deciding whether to buy at all, start with our Zoho One worth it India cost tests and the Zoho One vs individual apps breakdown. This page is for teams that already pay for Zoho One and want an honest answer to one question: is Zoho One still worth it for us this year?

Zoho One Renewal Prices to Check First (INR)

In short: Zoho One in India is ₹1,250 per employee (all-employee) or ₹3,500 per user (flexible) a month on annual billing, before GST.

Prices change, so check them again on the day you decide. A Zoho One renewal built on last year's numbers can point you the wrong way. These are the figures shown on Zoho's official pricing pages for India on 29 October 2026, before GST (Zoho shows prices exclusive of local taxes):

7 Zoho One Renewal Checks Before You Pay Again

In short: Usage, licence model, headcount, apps you would buy anyway, cross-app links, extras outside the invoice and exit effort.

Run these seven checks in order, ideally with one person owning the Zoho One renewal from start to finish. Each one takes the guesswork out of whether Zoho One is still worth it for your business.

1. Map real usage, app by app

Ask each team lead a plain question: which Zoho apps does your team open every week, and for what? Write the answer as a simple grid of people and apps. Do not count apps that were set up and abandoned. They matter for future plans, but not for this Zoho One renewal decision. This usage map is the foundation of the whole Zoho One renewal review.

2. Confirm your licence model still fits

Under all-employee pricing, Zoho says you must license every employee, and if not all employees are licensed, Zoho will ask you to buy the rest or move to flexible pricing (Zoho One pricing FAQ). If you hired people over the year and did not add licences, fix that before your Zoho One renewal, not during it. Our Zoho One licensing guide explains the rules in detail.

3. Recount headcount and plans for next year

All-employee cost grows with every hire, even people who rarely use software. If you plan to add many staff in roles with little screen time, price that growth now. Zoho's FAQ asks businesses with employees who do not use devices to contact its sales team about the right licensing approach.

4. Price the apps you would buy anyway

Take the usage map and price only those apps and editions separately, using the table above. Be honest about editions: if your sales team relies on features found only in a higher CRM edition, price that edition, not the cheapest one. Our Zoho CRM pricing India with GST guide helps here.

5. List every cross-app link you depend on

Write down each place where one Zoho app feeds another, for example a deal in CRM creating an invoice in Books, or a ticket in Desk showing customer details from CRM. If you move to separate subscriptions, each link needs to be checked and kept working. The longer this list, the more Zoho One is doing for you quietly.

6. Count extras outside the bundle

Zoho's FAQ says Marketplace extensions are not included on the Zoho One invoice, and that higher support plans are sold as add-ons. List these extras separately so you compare like with like on both sides.

7. Estimate the effort to change

Switching away has a cost in time: re-checking integrations, updating user access, and retraining. If that effort is large and the saving is small, staying is often the calmer choice. If the saving is large and steady, the effort pays back. Put a rough number on both sides so the Zoho One renewal decision is easy to explain to finance.

Keep, Go Hybrid or Buy Apps Separately

In short: There are three sensible outcomes: keep Zoho One, go hybrid with flexible licences, or buy apps separately.

OutcomeSuits (Example only)What to watch
Keep Zoho OneMost staff use several apps; many cross-app linksStay compliant on all-employee licences
Go hybridA few heavy users; many light usersFlexible licences for the heavy users, separate apps for the rest
Buy apps separatelyUsage is narrow, usually two or three appsEvery cross-app link must be rechecked

The hybrid path is the most overlooked Zoho One renewal option. Zoho's pricing FAQ confirms that on flexible user pricing you can license Zoho One for some employees and license other Zoho apps separately for others. For another bundle option, compare Zoho One vs Zoho CRM Plus.

Zoho One Renewal Example: 12 People, Narrow Usage

In short: In this example the separate stack is cheaper, but the gap shrinks with every extra app the team truly uses.

Example only. A 12-person services firm on all-employee pricing. Its usage map shows four people in CRM, two in Desk, one accountant in Books, everyone on mail and HR, and six people in Projects. Annual billing, before GST:

Line (Example only)Per month
Zoho CRM Professional x 4₹5,600
Zoho Desk Standard x 2₹1,600
Zoho Books Standard (includes 3 users)₹749
Zoho Workplace Standard x 12₹1,188
Zoho People Professional x 12₹1,152
Separate total₹10,289
Add Zoho Projects Premium x 6₹1,680
Separate total with Projects₹11,969
Zoho One all-employee x 12₹15,000

In this example, buying apps separately costs ₹4,711 a month less without Projects, and ₹3,031 less with it. Add one or two more apps that people truly use, or move CRM users up an edition, and the gap can close. That is why, in any Zoho One renewal, the usage map matters more than any headline price. Remember the effort from check 7 as well: a small saving may not justify the work of splitting.

Your Zoho One Renewal Plan, Step by Step

In short: Start early, collect facts from each team, and decide before the renewal invoice, not after it.

  1. Note your renewal date and billing cycle.
  2. Collect the usage map from every team lead.
  3. Price the separate stack at current India rates.
  4. List cross-app links and extras outside the bundle.
  5. Choose keep, hybrid or separate, and write down why.
  6. Agree the change with whoever owns the budget.
  7. Act before the renewal invoice, not after it.

A broader Zoho audit checklist fits well alongside this plan if you also want to fix setup problems you found during the year.

If You Decide to Split After Your Zoho One Renewal Review

In short: If you split, change licences in a planned order and confirm billing details with Zoho before you remove anything.

Zoho's FAQ says you can add or remove Zoho One licences online or through its sales team, and that after removing a licence you can contact its payments team about a refund. It also says you must pay in the currency of the country where the account was created. Before you remove anything:

  • Confirm with Zoho how your existing app data and settings carry over to standalone subscriptions.
  • Change one team at a time, starting with the team that has the fewest cross-app links.
  • Re-test every link on your list after each change.
  • Update user access so nobody loses a tool they need on day one.
  • Keep a written record of what changed and when, so next year's Zoho One renewal review starts from facts.

If you need hands-on help, our Zoho One implementation plan and Zoho One app selection guide cover how apps fit together.

Zoho One Renewal Mistakes to Avoid

In short: Most renewal mistakes come from guessing usage or comparing against a price list that is out of date.

  • Comparing against old price lists copied from other websites.
  • Counting apps that were set up once and never used.
  • Pricing the cheapest edition when the team relies on higher-edition features.
  • Forgetting staff hired during the year on all-employee pricing.
  • Ignoring the effort of rechecking cross-app links.
  • Deciding after the renewal invoice has already gone out.
