Short answer

From spreadsheets, use Zoho CRM's module import with CSV, XLS or XLSX files. From your old CRM, export everything and use the Data Migration wizard under Setup, Data Administration, Import. Clean duplicates first, create custom fields, map every column, import users, accounts, contacts, deals and then activities, and check Import History. You can undo an import within 30 days.

Two Ways to Migrate to Zoho CRM

In short: Use module import for spreadsheets and small datasets; use the Data Migration wizard when moving a whole database from your old CRM with activities, attachments and related records.

Module importData Migration wizard
Best forSpreadsheets, single modules, top-up importsA full move from your old CRM
WhereEach module's Import optionSetup, Data Administration, Import, then choose your source or Other CRM
FilesCSV, XLS, XLSX, VCFCSV files or a ZIP of CSV files (no sub-folders)
ScopeOne module per importMany modules at once, with activities, attachments, images and inventory records
MappingYou map columns to fieldsAuto-maps files to modules and columns to fields; you review

Zoho's Data Migration help says the wizard can create modules that do not already exist and shows which files are mapped, unmapped or unsupported. For some sources it can also pull data directly using an API key. Wizard file limits are 5 GB per file, 200 files at once and 25 GB in total. You need the Data Migration permission in your profile.

Zoho CRM Import Limits When You Migrate to Zoho CRM

In short: Spreadsheet files (XLS, XLSX) import up to 5,000 records per batch; CSV goes higher by edition, from 10,000 on Standard to 30,000 on Enterprise, with file size caps of 10 to 25 MB.

From Zoho's Importing Data help and import FAQs, checked 15 October 2026:

EditionCSV records per batchCSV file sizeXLS, XLSX, VCF per batch
Free1,0005 MB1,000
Standard10,00010 MB5,000
Professional20,00010 MB5,000
Enterprise30,00025 MB5,000

Zoho's help also lists 50,000 CSV rows for Ultimate. Zoho has announced a revamped import tool with higher limits, so check the help page on the day you import. Larger files must be split. More than ten blank rows can be read as the end of the file, and spreadsheets with embedded images or filters can cause errors.

Data-Cleaning Checklist Before You Migrate to Zoho CRM

In short: Clean before you move: remove duplicates, fix emails and phone formats, standardise picklist values, split names, and drop data nobody uses.

Most problems when teams migrate to zoho crm start in the source data, so fix them there first.

  1. Export a full backup of the old system and keep it read-only.
  2. Remove exact and near duplicates; pick one master record per customer.
  3. Fix email addresses and use one phone format with country code.
  4. Split full names into first and last name; Last Name is mandatory for leads and contacts.
  5. Standardise picklist values (for example one spelling of each city and lead source).
  6. Convert dates to a single format and note it for the import screen.
  7. Remove HTML or script fragments from text fields.
  8. Decide which old fields to drop because nobody uses them.
  9. Save attachments separately from data files.
  10. Make one owner column using users' email addresses.

If you are moving from spreadsheets, our Excel to Zoho CRM guide covers spreadsheet-specific traps in more depth.

Zoho CRM Import CSV Mapping: Field-Mapping Table

In short: Map every column to a Zoho CRM field, create custom fields first, and give mandatory fields such as Last Name, Account Name, Deal Name, Stage and Closing Date a value.

Create custom fields in Zoho CRM before the import so every column has a home. A typical mapping when you migrate to Zoho CRM:

Old column (example)Zoho CRM moduleZoho CRM fieldNote
CompanyAccountsAccount NameMandatory; unique field for duplicates
Contact nameContactsFirst Name and Last NameSplit first; Last Name is mandatory
EmailContacts / LeadsEmailUsed for duplicate checks
MobileContacts / LeadsMobileOne format with country code
OpportunityDealsDeal NameMandatory
Opportunity statusDealsStageMandatory; map old values to your stages
Expected closeDealsClosing DateMandatory; one date format
ValueDealsAmountNumbers only, no currency symbols
OwnerAll modulesRecord ownerMatch by user email
Company (on deal)DealsAccount Name (lookup)Lookup by name or record ID
SourceLeads / ContactsLead SourcePicklist values must match

Zoho CRM lets you set a default value for a mandatory field when the file is empty,.

Import Order When You Migrate to Zoho CRM: Lookups First

In short: Import parent records before children: users, then accounts, then contacts, then deals, then activities and notes, so lookups find their parent.

According to Zoho's import help, a lookup links an imported record to one already in CRM using the parent's name or record ID; if the parent is missing, the lookup stays empty. That is why order matters when you migrate to Zoho CRM:

  1. Users: add users first; in the wizard, a users file lets records keep their owners.
  2. Accounts: companies, so contacts and deals can look them up.
  3. Contacts: with the Account Name lookup.
  4. Deals: with Account Name and Contact lookups.
  5. Activities and notes: tasks, calls, meetings and notes attached to the records above.
  6. Products and other related modules: once their parent records exist.

Duplicates and Overwrites as You Migrate to Zoho CRM

In short: Zoho CRM checks duplicates on one unique field per module, such as Email for leads and contacts and Account Name for accounts.

Zoho's import FAQs list the unique field used for duplicate checks in each module:

ModuleDuplicate check field
LeadsEmail
ContactsEmail
AccountsAccount Name
DealsDeal Name
ProductsProduct Name
VendorsVendor Name
CampaignsCampaign Name
CasesSubject

You can skip duplicates or update existing records. Zoho notes that the Overwrite option is available in the Enterprise edition and above. To update records reliably, export them with record IDs, edit the file and import with Overwrite.

How to Migrate to Zoho CRM in 9 Steps

In short: Migrate in nine steps: audit, clean, design fields, export, map, test, import in order, verify, then switch users over.

  1. Audit: List every data source, record count per module and who owns each.
  2. Clean: Work through the cleaning checklist above in the source files.
  3. Design fields: Create custom fields, picklist values, stages and layouts in Zoho CRM.
  4. Export: Export all modules from your old CRM or spreadsheets as CSV, plus attachments.
  5. Map: Map columns to fields, and set default values for empty mandatory fields.
  6. Test: Import a sample of 50 to 100 records per module and check them on screen.
  7. Import in order: Users, accounts, contacts, deals, then activities and notes.
  8. Verify: Compare record counts, spot-check lookups and owners, and review Import History.
  9. Switch over: Freeze the old system, run a final top-up import and train users.

Whether you switch CRM to Zoho from another system or move from spreadsheets, the same nine steps apply when you migrate to zoho crm; only the export step changes.

CRM Data Migration Cost India: What Drives It

In short: Migration cost depends on record volume, number of sources, custom fields, attachments, data quality and testing, plus Zoho CRM licences from ₹800 per user a month (annual billing, GST extra).

When you migrate to zoho crm, migration effort is a service cost, separate from Zoho licences. We do not publish fixed fees because effort depends on these drivers:

DriverLower effortHigher effort
Record volumeA few thousand recordsHundreds of thousands, many batches
SourcesOne spreadsheet or one CRMSeveral tools and spreadsheets
Data qualityClean, consistentDuplicates, mixed formats, free text
Custom fields and modulesMostly standard fieldsMany custom fields and modules
Related dataContacts onlyDeals, activities, notes, attachments
Testing and sign-offOne checkSeveral test rounds with each team

Zoho CRM licences, from the official pricing page on 15 October 2026, per user a month, GST extra:

EditionAnnual billingMonthly billing
Free (up to 3 users)₹0₹0
Standard₹800₹1,300
Professional₹1,400₹2,100
Enterprise₹2,400₹3,000

Remember the Overwrite option needs Enterprise or above, which matters if you plan repeated update imports. For licence choices, see our Zoho CRM pricing India guide.

Risks and Rollback When You Migrate to Zoho CRM

In short: Your safety net is the Import History undo within 30 days, a full backup of the old system and a test import first; overwrites through upsert cannot be undone.

RiskWhat happensPrevention or rollback
Wrong mappingData lands in the wrong fieldsTest import first; undo from Import History
Missing parentsLookups stay emptyImport parents first; re-import children
DuplicatesTwo records per customerClean first; use the duplicate check field
Bad overwriteGood data replacedExport a backup first; Zoho says upsert overwrites cannot be undone
Owners lostRecords assigned to the importerImport users first and map owners by email
Automation firingWorkflows send emails during importPause email workflows during migration

Zoho's import FAQs explain the safety net: go to Setup, Data Administration, Import, Import History and choose Undo this import. Undo permanently deletes that import's records, and imports are confirmed automatically after 30 days, after which they cannot be undone. Undoing imported contacts also deletes the imported accounts linked to them, so undo in reverse order.
