Zoho Mail Data Center Migration: Moving Your Org to the Right Region Without Losing Mail
A zoho mail data center migration moves your whole Zoho organisation, including mailboxes, from one region to another, for example from the US data center to Europe. It is handled by Zoho's migration team on request, not from a button in the Admin Console. This guide explains what Zoho documents, what it does not, and how to prepare DNS, integrations and users so the move is calm.

Short answer
Yes, Zoho can move your organisation to another data center. The organisation owner emails Zoho's migration team with the target region; Zoho reviews the apps you use, explains limits and timing, and starts only after you confirm. Zoho Mail supports residual migration, so mail sent and received during the move is carried over. Integrations are not migrated and must be set up again. Lower your DNS TTL beforehand, update MX, SPF and DKIM to the values shown in the Admin Console afterwards, and allow for DNS changes to take up to 12 to 24 hours.
How Zoho Handles a Zoho Mail Data Center Migration
In short: Zoho moves an organisation between data centers only on request: the org owner emails Zoho's migration team, Zoho checks feasibility and limits, and nothing starts without your confirmation.
The usual trigger is simple: a business signed up from one country, was placed in that region's data center, and later realised its data should sit elsewhere. Zoho's data center migration help explains the process:
- The organisation owner emails Zoho's migration team with the requirement. Organisation users cannot request it.
- Zoho gathers details: the apps and subscriptions you use.
- Zoho reviews feasibility and tells you about limits, including any apps that cannot be moved.
- Zoho waits for your confirmation before starting.
- Data is exported from the old region and imported into a new account in the target region.
- You check the data; Zoho completes the migration once you confirm.
Zoho says the duration depends on how much data you have and that it will share the timeline after reviewing your request. Migration can be scheduled at weekends on request. So the honest answer to "how long does a zoho mail data center migration take?" is: Zoho tells you after assessment.
Zoho Data Centers for a Zoho Mail Data Center Migration
In short: Zoho's developer docs list eight account regions (US, EU, IN, AU, JP, CA, SA and UK); the data centre page lists physical sites, and serves UK customers from the Europe DC.
Zoho's multi-DC developer page lists these account regions and server URLs:
| Region | Accounts URL | Notes |
|---|---|---|
| United States (US) | accounts.zoho.com | Primary in Quincy, secondary in Dallas |
| Europe (EU) | accounts.zoho.eu | Amsterdam and Dublin; serves UK customers on the data centre page |
| India (IN) | accounts.zoho.in | Mumbai and Chennai |
| Australia (AU) | accounts.zoho.com.au | Sydney and Melbourne |
| Japan (JP) | accounts.zoho.jp | Tokyo and Osaka |
| Canada (CA) | accounts.zohocloud.ca | Toronto and Montreal |
| Saudi Arabia (SA) | accounts.zoho.sa | Riyadh and Jeddah |
| United Kingdom (UK) | accounts.zoho.uk | Listed for developers; not listed as a site on the data centre page |
Zoho's data centre page also lists UAE and Singapore sites, and its serviced-locations list places the United Kingdom under Europe. For a us to uk dc move, ask the migration team which region Zoho Mail can be hosted in for your organisation today; Zoho does not publish a Mail-specific UK availability statement. Moving to the EU region is the documented path for UK-based businesses on the data centre page.
What Moves in a Zoho Mail Data Center Migration
In short: Account and app data for supported apps move, and Zoho Mail carries over emails sent and received during the migration; integrations do not move and must be set up again.
| Item | Moves? | What Zoho says |
|---|---|---|
| User accounts and app data (supported apps) | Yes | Exported from the old DC and imported to a new account |
| Emails sent and received during migration | Yes | Zoho Mail supports residual migration |
| Subscriptions and add-ons (supported apps) | Yes | Renewal dates stay the same; currency and price follow the new region |
| Integrations (Zoho to Zoho or external) | No | Must be configured again after migration |
| Unsupported apps | No | Zoho lists apps such as Zoho Voice and Zoho Social as not supported; export data first if the app allows it |
| New data added in non-residual apps during migration | No | Do not add data while migration runs |
| Old account | Deactivated | Deleted after 14 days unless you report missing data |
Zoho also notes that if you do not confirm after its follow-up, about two weeks after migration, it may revert the changes. Plan who will confirm for your zoho mail data center migration before you start.
MX, SPF, DKIM and DNS Propagation
In short: Zoho's help says MX values vary by data center and should be copied from the Admin Console; DNS changes can take up to 12 to 24 hours depending on TTL.
Zoho's email delivery help shows mx.zoho.com, mx2.zoho.com and mx3.zoho.com as generic values with priorities 10, 20 and 50, and states that the TLD in the MX record varies with the data center hosting your data. Always copy the exact values from Tools and Configurations in the Admin Console for the new region.
| Record | What to check after the move | Zoho source |
|---|---|---|
| MX | Values for the new DC from the Admin Console; remove other MX entries with lower priority numbers | Email delivery help |
| SPF | One SPF TXT record; Zoho shows include:zohomail.com, or include:one.zoho.com for several Zoho services | SPF help |
| DKIM | Check that the DKIM selector and key in the Admin Console match DNS; add a new key if shown | DKIM help |
| Domain verification | Confirm the domain shows as verified in the new region | Admin Console |
Zoho's SPF help and DKIM help both say DNS changes can take up to 12 to 24 hours based on TTL, and that a very high TTL (24 or 48 hours) delays verification. The MX help advises setting the lowest possible TTL if your DNS host allows it. Zoho does not publish whether DKIM keys carry over in a zoho mail data center migration, so check them in the Admin Console after the move. Good dns propagation planning is the single biggest lever on email migration downtime.
Email Migration Downtime in a Zoho Mail Data Center Migration
In short: Zoho's Mail GDPR page says there should not be any downtime for US to EU moves, while the general DC help says not to use apps during migration; Zoho gives the timeline after reviewing your request.
Zoho's Zoho Mail GDPR page says US to EU migration is processed on request, may take up to 5 business days from the start, and that there should not be any downtime to the services during the data migration. The general DC help adds that you should not use apps during migration, with Zoho Mail as an exception because it carries over mail sent and received meanwhile. Zoho does not publish a fixed downtime figure for every route, so treat any number as an estimate until the migration team confirms it.
| Risk | How to reduce email migration downtime |
|---|---|
| Slow DNS changes | Lower TTL on MX, SPF and DKIM records a few days before the move |
| Users editing data in other apps | Announce a freeze for apps that do not support residual migration |
| Integrations stop | List them in advance and rebuild right after cutover |
| Devices fail to sync | Prepare sign-in instructions for mobile and desktop clients |
| Missing data noticed late | Check key mailboxes and folders within Zoho's 14-day window |
| Billing surprises | Ask Zoho about pricing and currency in the new region before confirming |
Zoho Mail Data Center Migration Checklist
In short: Before you ask Zoho to migrate, lower DNS TTL, back up key data, confirm super admin access and list every integration and API endpoint that uses your current Zoho domain.
- Confirm who the organisation owner and super admin are, and that both can sign in.
- Record current MX, SPF, DKIM and DMARC values and their TTLs.
- Lower TTL on mail records to the lowest value your DNS host allows.
- Export data from any app Zoho says is not supported for migration.
- Back up critical mailboxes if your plan allows export.
- List every integration: Zoho to Zoho links, external tools, SMTP relays and forms that send mail.
- List API clients and scripts that call your current domain, such as accounts.zoho.com or mail.zoho.com, which will change to the new region's domain (for example accounts.zoho.eu); see Zoho's CRM multi-DC API notes and Mail API docs.
- Plan a quiet window and tell users what will change.
Zoho Mail Data Center Migration Cutover in 8 Steps
In short: Cut over in eight steps, from the migration request to cleaning up the old account after Zoho's 14-day window.
- Send the request: The organisation owner emails Zoho's migration team with the target data center and the apps in use.
- Review Zoho's assessment: Read the feasibility, limits, unsupported apps, pricing change and timeline Zoho sends.
- Prepare DNS and users: Lower TTL, export unsupported data, list integrations and brief users.
- Confirm the start: Give Zoho explicit confirmation and agree the window, including weekends if needed.
- Pause non-residual apps: Avoid adding data in apps that do not carry over changes during migration.
- Update DNS records: When Zoho says the new region is live, set MX, SPF and DKIM to the Admin Console values.
- Rebuild integrations: Reconnect Zoho to Zoho links, external tools and API clients using the new domain.
- Verify and confirm: Check mail and data, confirm with Zoho, and restore normal TTL values.
If you are moving mail into Zoho from another provider rather than between Zoho regions, see our Zoho Mail migration guide instead; that is a different zoho mail migration process using import tools.
Post-Migration Verification
In short: After the move, check sign-in, mail flow both ways, DNS records, mobile and desktop clients, integrations and billing currency.
| Check | Pass when |
|---|---|
| Admin and user sign-in | Users sign in at the new region's Zoho domain |
| Inbound mail | External test messages arrive in several mailboxes |
| Outbound mail | Messages reach outside inboxes and pass SPF and DKIM checks |
| DNS lookups | MX, SPF and DKIM resolve to the Admin Console values |
| Mail during migration | Messages sent and received during the move are present |
| Mobile and desktop clients | Accounts sync after re-sign-in |
| Integrations and APIs | Each rebuilt link runs with the new domain |
| Billing | Currency and price match the new region as Zoho advised |
Finish this list before Zoho's 14-day window closes, so any missing data can still be exported from the old account during your zoho mail data center migration.
Common Zoho Mail Data Center Migration Issues
In short: Most problems are DNS values still pointing to the old region, integrations using the old domain, and devices that need to sign in again.
- MX still pointing to the old values, so some mail is delayed.
- Two SPF records after edits, causing SPF failures.
- DKIM not matching after the move until a key is checked or added.
- Integrations or scripts still calling the old Zoho domain.
- Users trying to sign in at the old region's web address.
- Apps that Zoho does not migrate losing data that was not exported.
If mail stops arriving after the move, our Zoho Mail not receiving emails fixes cover MX and filter checks.
